OMOS

The Office Management Operating System by The Office Management Group

COOKIE POLICY

Version 1.0  ·  3 September 2026

This Cookie Policy explains how The Office Management Group Limited (company number 10284254, registered office Victoria House, 50 Alexandra Street, Southend-on-Sea, Essex, SS1 1BN) (“we”, “us”, “our”) uses cookies and similar technologies in connection with OMOS.

This policy applies to:

·       useomos.com – the public OMOS website;

·       app.useomos.com – the OMOS web application;

·       public OMOS marketing pages hosted at app.useomos.com/omos-website/;

·       the public onboarding and readiness intake at app.useomos.com/omos-intake/; and

·       OMOS promotional and purchase pages hosted within those domains, including the Founding Member page.

It should be read alongside our Privacy Policy, Terms and Conditions and, where applicable, our Data Processing Agreement.

1. What are cookies and similar technologies?

Cookies are small files stored on your device when you visit a website or use a web application.

OMOS also uses similar browser technologies, including local storage. Local storage allows a web application to retain certain information in your browser, for example to maintain your authenticated session or remember preferences.

In this policy, we use the term “cookies” where appropriate and explain separately where information is stored using another browser technology.

2. How OMOS uses cookies and browser storage

OMOS uses cookies and similar technologies to:

·       operate the platform securely;

·       authenticate users and maintain signed-in sessions;

·       remember certain preferences;

·       support application functionality;

·       protect public forms against automated or malicious submissions; and

·       where implemented, understand how our public website is being used.

We do not sell cookie or browsing data to third parties.

3. Authentication and essential storage

Supabase authentication

OMOS uses Supabase Auth to provide user authentication.

The current OMOS web application stores authentication session information in browser local storage so that it can recognise a signed-in user and restore their session when the application is reopened.

The stored authentication session is used to send authenticated requests to the OMOS API.

Authentication information is retained and refreshed in accordance with the applicable Supabase Auth session settings and is removed or invalidated following sign-out, expiry or other session invalidation.

This storage is necessary to provide authenticated access to OMOS.

4. Functionality and preference storage

OMOS may store limited information in your browser to support application functionality and remember your preferences.

Sidebar state

OMOS uses a first-party sidebar_state cookie to remember whether the application sidebar is expanded or collapsed.

Duration: 7 days.

OMOS may also use browser local storage for:

·       language preferences;

·       onboarding or setup completion state;

·       application interface state; and

·       housekeeping-related application state.

Some locally stored information may relate to operational information entered into OMOS rather than simply an anonymous interface preference.

Where functionality or preference storage is not essential to providing a service requested by the user, it will be handled in accordance with applicable cookie and privacy requirements.

5. Security and Cloudflare Turnstile

OMOS uses Cloudflare Turnstile on public forms to help determine whether a submission is being made by a genuine user rather than an automated system.

Cloudflare may process technical information including IP address, browser and device information, hostname and challenge-verification information in order to provide this security service.

Cloudflare may use cookies or similar technologies as part of this process in accordance with its own privacy and technology policies.

Turnstile is used to protect OMOS, its users and its public forms from spam, abuse and automated submissions.

6. Payments and Stripe

OMOS uses Stripe for payment checkout, recurring subscriptions, billing administration, payment security and fraud prevention.

When you proceed to Stripe-hosted checkout or billing pages, Stripe may process information including:

·       your name;

·       email address;

·       company information;

·       telephone number where requested;

·       payment and billing information;

·       subscription status;

·       checkout and subscription identifiers; and

·       fraud-prevention and security signals.

Stripe may use cookies and similar technologies on its own hosted checkout and billing pages.

Cookies used on Stripe-hosted pages are controlled by Stripe and are subject to Stripe's own privacy and cookie policies.

OMOS does not receive or store your complete payment-card details.

7. CRM and GoHighLevel / LeadConnector

OMOS uses GoHighLevel / LeadConnector as a customer relationship management system.

When an OMOS user account is created, OMOS may synchronise information such as the user's:

·       email address;

·       first name; and

·       last name

with our CRM and apply an OMOS User identifier or tag.

This integration currently operates through server-to-server communication and does not itself require a browser cookie within the OMOS application.

Separate tracking technologies used on the public useomos.com website, if enabled in future, will be subject to the consent requirements described below.

8. Transactional email and Resend

OMOS uses Resend to provide transactional and service-related email.

This can include:

·       onboarding and intake notifications;

·       Founding Member purchase notifications;

·       account and service communications; and

·       other transactional messages relating to OMOS.

Resend operates server-side and is not currently used to place cookies in a visitor's browser.

Information contained in these communications may include contact, company, onboarding, intake or purchase information where relevant to the service being provided.

9. Analytics and advertising technologies

At the date of this policy, OMOS does not intentionally use Google Analytics, Meta Pixel, LinkedIn Insight Tag or other advertising or behavioural tracking technologies within the OMOS application or public OMOS website.

The OMOS website and intake code may support privacy-focused analytics functionality, but no such analytics service is currently confirmed as active in production.

If we introduce analytics, advertising, conversion tracking, remarketing or other non-essential technologies that require consent, they will not be activated for a visitor until the appropriate consent has been obtained where required by law.

We will update this Cookie Policy if the technologies used by OMOS materially change.

10. External resources

Some OMOS pages may load technical resources provided by third parties.

Google Fonts – used to provide typography including Montserrat and Inter.

jsDelivr – used by parts of the OMOS application to deliver icon and webfont assets.

Loading an external resource may result in your browser making a request to the relevant provider's servers and transmitting technical information such as your IP address, browser information and user agent.

These services do not necessarily place cookies on your device simply because an external resource is loaded.

Further information about our use of third-party service providers and the processing of personal data is provided in our Privacy Policy.

11. Cookie consent

OMOS does not currently use advertising or behavioural tracking cookies on its public website and does not currently display a cookie consent banner.

Where cookies or similar technologies are necessary to provide security, authentication or a service specifically requested by the user, they may be used without consent where permitted by applicable law.

If we introduce non-essential analytics, advertising, conversion tracking, remarketing or other technologies requiring consent, we will implement an appropriate consent mechanism before those technologies are activated and update this Cookie Policy accordingly.

12. Your choices

Essential technologies

Some browser storage is necessary to provide core OMOS functionality, including secure authentication.

Blocking or deleting essential authentication information may prevent you from signing in to or using parts of OMOS.

Optional technologies

Where optional cookies or similar technologies requiring consent are used in future, you will be given an appropriate method of making and, where required, withdrawing your choice.

You can also manage cookies through your browser settings:

·       Chrome: Settings → Privacy and security

·       Safari: Settings/Preferences → Privacy

·       Firefox: Settings → Privacy & Security

·       Microsoft Edge: Settings → Cookies and site permissions

Blocking cookies or browser storage through your browser may affect the functionality of OMOS or other websites you use.

13. Third-party services

OMOS uses a number of third-party service providers to operate the platform and associated services. Some operate entirely server-side and therefore do not place cookies on your device, while others may process browser or device information when you interact with their services.

Further information about third-party processing and our service providers is available in our Privacy Policy and, where applicable, our Data Processing Agreement.

14. Changes to this Cookie Policy

We may update this Cookie Policy when OMOS changes, including when we introduce new functionality, integrations, analytics or other technologies.

When we make changes, we will update the Last updated date at the top of this policy.

Where a change materially affects how signed-in OMOS users' information is processed, we may also notify users through OMOS or by email where appropriate.

15. International users

OMOS is operated by a UK company and this policy has been prepared using UK data protection law and the Privacy and Electronic Communications Regulations (PECR) as its baseline.

OMOS may be made available to customers outside the UK. Where applicable laws in another jurisdiction impose additional requirements concerning cookies, browser storage or similar technologies, we will take appropriate steps to address those requirements as OMOS becomes available in those markets.

Further information about international processing and transfers of personal data is provided in our Privacy Policy and Data Processing Agreement.
